2. Personal data we process
For influencers and influencer candidates:
- Identity and contact: name or the display name on the profile, Instagram username, phone number, email address, and the addresses of any other social media accounts you share (TikTok, YouTube, X, Facebook, Twitch, website).
- Account statistics: the data in the Instagram Professional Dashboard screenshots or screen recording you send us (reach, views, engagement, content performance and aggregate audience statistics such as age, gender, city and country breakdown).
- Public profile information: profile photo, bio, follower count, and the public view and engagement counts of posts.
- Correspondence: the content of your messages with us via WhatsApp, email and Instagram.
- The application form on our website: the email address you sign in with, your full name, date of birth, gender, the city you live in, your Instagram profile link, the statistics screenshots and media kit photo you upload, your working terms (minimum reels and story price and your price note, barter preference, city, content categories, your note), your collaboration details (your tax status, whether you are signed with another agency, brands you have worked with, sectors you don't want to work with), your occupation, marital status, number of children and pets if you choose to share them, how you heard about us, the status and history of your application, the version and date of the consent text you accepted, and your marketing preference and its date. Our application system does not accept applications from anyone under 18.
- Your answers to collaboration opportunities: on the opportunity page of our website, your Instagram username, your name (optional), whether you want to take part, the fee you state for the job and your note.
- Security records: the times of sign-in code requests and file uploads, and technical records such as the IP address kept by our service provider during sign-in (to prevent abuse and excessive requests).
For brand representatives: name, title, contact details and the content of correspondence.
For website visitors: visits are counted anonymously without identifying you; Meta Pixel is used for ad measurement; those who sign in to apply have essential session information kept in their browser (details in section 8).
3. Purposes of processing
- Receiving and reviewing your application and informing you of the outcome; providing secure sign-in to the application page,
- Preparing your media kit and sending it to you,
- Presenting your profile to potentially suitable brands as a collaboration proposal,
- Passing brand collaboration offers on to you and handling contract and payment processes,
- Identifying brands and campaigns that suit you (your content categories, city, age group and any lifestyle details you choose to share are used for this),
- Communicating with you and answering your questions,
- Collecting whether you want to take part in a collaboration we have agreed with a brand and your fee, selecting suitable influencers and preparing a proposal for the brand (your answers on the opportunity page),
- Telling you about campaigns and collaboration opportunities, if you have allowed marketing messages,
- Measuring how many visits and applications our Instagram and Facebook ads bring (Meta Pixel, section 8),
- Respecting your request if you have told us you don't want to be contacted again,
- Fulfilling our legal obligations.
4. Collection method and legal grounds
Your personal data is collected, partly by automated means, from the information, screenshots and screen recordings you send us through the application form on our website or via WhatsApp, email or Instagram, and from your public Instagram profile.
This data is processed on the following legal grounds under Article 5 of the KVKK: it is directly related to the conclusion or performance of a contract (Art. 5/2-c), it has been made public by the data subject (Art. 5/2-d), it is necessary for the legitimate interests of the data controller (Art. 5/2-f), and it is necessary to fulfil legal obligations (Art. 5/2-ç).
The data you send through the application form on our website, and its transfer to service providers abroad, are additionally based on the explicit consent you give in the form (Art. 5/1 and Art. 9). You can withdraw your explicit consent at any time by writing to hello@keinemedya.com; withdrawal does not affect processing carried out before that date.
5. Transfers
- Brands: your media kit and the profile information needed for a collaboration may be shared with brands for the purpose of a collaboration proposal. Your data is never sold.
- Service providers: correspondence and records are processed and stored using messaging (WhatsApp), email (Google), cloud storage and AI-assisted software services. In our application system, application details and the files you upload are stored on Supabase servers in Germany (Frankfurt), accessible only to you and us; sign-in code and notification emails are sent through Brevo (with Resend as a backup); the new-application and opportunity-answer notifications to our team are delivered via Telegram (they contain your Instagram username and, for opportunity answers, your answer, fee and note); the website is hosted on Cloudflare; the website uses Meta Pixel for ad measurement (section 8). To help read the figures in your screenshots, and only when our team starts it, Anthropic's AI service (Claude) may be used; that reading is a draft and the decision on your application is made by our team. Some of these providers are based abroad and their servers may be located abroad; transfers abroad are made in line with Article 9 of the KVKK.
- Authorities: to competent public authorities where required by law.
6. Retention period
Your data is kept for as long as the purpose of processing continues. If no collaboration takes place, it is deleted upon your request or at the latest within 2 years of our last communication, and removed from automatic backups within 30 days. Contracts, invoices and payment records of collaborations that did take place are kept for the period required by the applicable legislation.
You can delete your application, your files and your sign-in account yourself at any time from the "Privacy" tab on your application page (see Deleting your data). Security records of sign-in code requests and upload times are kept for at most 30 days.
If you tell us you don't want to be contacted again, we keep a "do not contact" record containing only your username and/or email address, so that we never write to you again.
7. Your rights
Under Article 11 of the KVKK, you have the right to learn whether your personal data is processed; to request information if it has been processed; to learn the purpose of processing and whether it is used in line with that purpose; to know the third parties to whom it is transferred; to request correction if it is incomplete or inaccurate; to request deletion or destruction under the conditions of Article 7 of the KVKK and to have these actions notified to the third parties it was transferred to; to object to a result against you arising from analysis exclusively by automated systems; and to claim compensation if you suffer damage due to unlawful processing.

If you have signed in to the application system, the "Privacy" tab on your application page lets you download a copy of your data, see the consents you gave and their dates, turn marketing permission on or off and delete your application.
8. Cookies and browser storage
Meta Pixel: To measure the effect of our Instagram and Facebook ads, our website uses the "Meta Pixel" tool of Meta Platforms Ireland Ltd. The Pixel sends Meta the page you view, the events of clicking "Apply", signing in and submitting your application, your browser and device information and your IP address; for this purpose Meta may place a cookie (e.g. _fbp) in your browser, and this data may be transferred to Meta's servers abroad. What you type into forms (your name, email, phone number, screenshots) is not sent to Meta; the Pixel's automatic form-reading feature is turned off. How Meta processes this data is explained in the Meta Privacy Policy. You can manage your ad preferences in your Facebook/Instagram ad settings, or block the Pixel with your browser's third-party cookie or tracker blocking; the website works the same way if you do. The Pixel does not run on our admin pages.
Anonymous counting: We also anonymously count which pages are viewed and where visitors come from (e.g. Instagram): nothing is saved in your browser for this, and your IP address and browser details are not stored; we keep only a one-way digest created with a random key that changes every day, which cannot be traced back to you and does not match across days. These counts do not identify anyone and are deleted after 400 days. When you sign in to apply, session information is saved in your browser's local storage so that you stay signed in; it is used only for your sign-in, is essential, and is deleted when you press "Sign out". Apart from these and the Meta Pixel, nothing is stored in your browser. The website's files, including fonts, are loaded from our own server (the Meta Pixel code is loaded from Meta's server); the application pages also communicate with our application system's (Supabase) server. The hosting provider of our website may keep technical server logs, such as IP addresses, for security and operational purposes. When you click the WhatsApp, email or Instagram links on the page, that service's own privacy policy applies.
9. Marketing messages
Announcements about campaigns and collaboration opportunities (commercial electronic messages) are only sent if you separately and optionally allowed them in the application form. This permission is separate from your KVKK explicit consent; not giving it does not affect your application, and you can turn it off at any time in the "Privacy" tab. Messages about your application, such as the result or missing information, are independent of this permission.
